Who we are and what this notice covers
Wanderlust Photography is operated by Wanderlust Photography LLC in Naples, Florida ("Wanderlust," "we," "us"). This notice describes our handling of personal information through our website, inquiries, Facebook and Instagram lead forms, bookings, commissioned photography and media services, and related client-service communications. Contact us at support@thewanderlustphotography.com about this notice or your information.
This notice explains information practices. It does not itself grant permission to use a person's likeness or property images, enroll anyone in marketing, or change the service scope, media license or payment terms in an applicable service agreement. Privacy rights that applicable law provides are unaffected by that agreement.
Information we collect
Information you provide. When you inquire, save an inquiry to prepare an email, request a marketing handoff, book a shoot or discuss services with our team, we collect the contact, business, property, service, scheduling-preference and order details you provide. These can include your name, email, telephone number, brokerage or company, property or service location, requested services and messages. We maintain related inquiry and follow-up records. If you provide someone else's information, provide only what is needed for the request and ensure you have authority to share it for that purpose. Please do not include passwords, payment-card details or unrelated sensitive personal information in inquiry messages.
Facebook and Instagram lead forms. If you submit one of our forms on Facebook or Instagram, we receive the information you confirm and submit, including information the platform prefills. Our agent inquiry forms request name, email, phone, brokerage and listing city, with optional next-listing timing. We also receive available form and submission identifiers, submission time, platform and campaign, ad-set and ad names or identifiers associated with the inquiry. Availability of attribution information depends on the submission and platform. We use Salesmate to receive and organize these inquiries and our follow-up records.
Commissioned photography and media. When commissioned, we capture and process property photographs, video, aerial imagery and other agreed project media. We also receive project assets you supply, such as photographs, video, branding, descriptions and instructions, and property, scheduling and access details needed to coordinate the work. Media and supplied assets may show or identify people, property locations, possessions, documents or other personal details. Before a shoot, identify restricted areas and remove or secure personal items and information you do not want captured. Provide sensitive access instructions only through the agreed coordination channel, not public comments or lead forms.
Website and booking records. Inquiry records can include campaign codes and the way you submitted. We can record a request to prepare an email draft on our website; we cannot see whether you send or change that draft in your email app. Our website also uses a security check to reduce automated abuse.
When booking progress measurement is enabled and you continue with your email in the booking form, we save that email, whether an existing account was found, relevant campaign codes, and the steps and service choices made during the booking. We link these records to recommended packages and add-ons to understand where people stop and improve our recommendations and checkout. These progress events do not contain the property address. Entering an email does not subscribe you to marketing or trigger an abandoned-booking message.
We also record limited checkout diagnostics, such as which address field needs correction, a connection interruption or a payment-verification problem. These records can be linked to the email already supplied for booking. Pending browser diagnostics contain categories and reference IDs, not contact details, payment data or raw error text. They are kept for up to 24 hours, with a limit of 50 pending events, and retried when connectivity returns. Problems requiring staff review may trigger an internal support alert. We do not send these diagnostic reports to Meta.
Order and payment information. We receive customer, order and payment-status information needed to arrange services, verify payment, reconcile orders and address support or disputes. Aryeo supports our customer, scheduling, order, gallery and payment workflows. Information supplied directly to a payment or other external service is also subject to that provider's applicable notice.
How we use information
We use the information described above to:
- Respond to your request, provide packages and availability, assess our service area, or discuss a custom media plan around your listings and goals.
- Prepare and perform agreed services, match customer and order records, coordinate photographers and scheduling, collect and verify payment, and provide support.
- Produce, edit, review and deliver commissioned media, use supplied project assets for the agreed work, and distribute media only within the authority and permissions applicable to that engagement.
- Retain and license Wanderlust-owned media to additional users, or use it for stock, portfolio and our own marketing, where our retained rights, applicable agreements, privacy obligations and necessary releases permit that use. This does not authorize disclosure of confidential booking or access information.
- Organize inquiries, assign responsibility for follow-up, maintain communications and service history, and understand which campaigns produce inquiries.
- Improve our recommendations and checkout, prevent duplicate submissions and abuse, troubleshoot problems, and maintain website reliability and security.
- Maintain necessary business records, comply with applicable legal requirements, and establish, exercise or defend legal claims.
When you submit an inquiry, we use the contact details you provide to respond to that request. Submission does not enroll you in a newsletter or an automated promotional email or text campaign. A native Facebook or Instagram inquiry is also separate from permission for optional measurement on our website. You may ask us to stop further inquiry follow-up by replying or contacting the address above. Necessary order, support or legal communications may still be sent where appropriate.
The client media license is separate from Wanderlust's retained ownership and nonexclusive commercial-use rights. We may relicense our own media or use it for stock, portfolio and our marketing, subject to applicable agreements, privacy and publicity obligations, third-party rights and necessary releases. Copyright ownership does not by itself supply every permission required for a particular use. This notice itself grants no publicity, property, copyright or likeness permission. Permission from a commissioning client does not replace another person's permission where it is required.
Who receives information
Our team and the service providers supporting the relevant activity receive information needed for that activity. For example:
- Cloudflare hosts the website, security check, website lead database and website lead notification service.
- Aryeo supports customer, order, scheduling, gallery and payment workflows.
- Google receives the street address you type on our booking page when address suggestions are offered, so it can suggest matching addresses. Google's use of that information is governed by the Google Privacy Policy.
- Stripe processes card and digital-wallet payments on its hosted Checkout page. Payment details go directly to Stripe, along with device and fraud-prevention information it collects. We can access payment status, transaction references, and the contact and billing details Stripe provides to help us fulfill orders, keep payment records, and provide support. We do not receive your full card number or security code. Stripe's processing is governed by the Stripe Privacy Policy.
- Salesmate receives and organizes connected Meta lead-form inquiries and related contact and follow-up records.
- Our staff and service team use inquiry and order information to respond and perform services. Internal notifications and follow-up tasks may route relevant information to the team responsible for the request, including our shared support inbox.
- Project recipients receive media and related details where needed to produce or deliver the commissioned work or carry out authorized distribution. Depending on the engagement, these may include the client, its designated representatives, personnel or contractors working on the project, and delivery or publishing services authorized for that work. Publicly distributed media may be viewed, copied or redistributed by others; permissions and applicable law govern that use.
- Media licensees and commercial publishing recipients may receive Wanderlust-owned media for permitted relicensing, stock, portfolio or our marketing uses. These can include other agents, licensing customers, stock or publishing platforms and the audiences of permitted public displays. Necessary releases, third-party rights, applicable law and accepted restrictions govern those uses. This does not authorize sharing confidential inquiry, booking or access records with those recipients.
- Meta receives information through its own Facebook and Instagram services and, when you permit it, through the website measurement described below. Meta's processing for its own platform purposes is governed by Meta's Privacy Policy; Meta is not described here as acting only on our behalf.
We may also disclose information when reasonably necessary to comply with applicable law or valid legal process, protect rights and security, investigate suspected fraud or abuse, or obtain professional advice concerning those matters. This does not authorize disclosure beyond what applicable law permits. External websites, platforms and services have their own information practices; their notices apply to their handling of information.
If we pursue a merger, acquisition, reorganization or sale of relevant business assets, information may be disclosed where reasonably necessary for that transaction, subject to applicable law, appropriate confidentiality safeguards and existing restrictions on its use. A successor receiving the information must honor applicable privacy commitments unless a lawful change is made with any required notice or consent. This provision does not expand project-media licenses or override release restrictions.
Optional Meta measurement on our website
When enabled, optional Meta measurement helps us understand advertising visits, booking starts and paid website orders. It is on by default when you visit, and a notice on your first visit lets you Opt out. Opting out does not prevent booking. Global Privacy Control keeps this measurement off. Website booking-progress records and necessary service records described above are separate from this optional measurement.
With permission, we may store a Meta ad-click identifier in a first-party cookie and share it, together with generic page and action categories, campaign codes, other Meta browser identifiers and a verified paid amount, with Meta. For an eligible paid website order, we also share browser and operating-system information in the original browser User-Agent header without hashing it. We do not send your IP address through our server marketing integration. Necessary email and unambiguous phone details are normalized and hashed before sharing. Hashing does not make those details anonymous. We do not include property addresses, listing prices, private gallery information, payment links or booking notes in these marketing events.
For this website Meta measurement implementation, campaign information is kept in browser storage for up to 30 days. Server marketing matching material is retained for no more than seven days, with earlier deletion after delivery or suppression where practical. Minimal consent and pseudonymous event audit records are kept for up to 90 days. These periods concern our website measurement records; they do not describe Meta's own retention or the retention of native lead-form submissions, Salesmate contact and attribution records, inquiries, booking progress or financial records.
Choose Opt out in the first-visit notice, or open Privacy preferences on any general website page, to opt out at any time. Withdrawal stops browser measurement immediately and suppresses unsent linked server events once saved. If saving fails, the control shows that withdrawal is pending and retries. A request already transmitted cannot be recalled through this control. The control does not delete an inquiry, CRM contact or completed order, or change choices made directly in Meta's services. Contact us about information or deletion requests; Meta's policy explains its own controls and handling.
Retention and your choices
We retain information for as long as reasonably needed to respond to inquiries, perform services, maintain necessary business records, resolve disputes and meet legal obligations. Retention depends on the type of information, the relationship and service history, applicable obligations and any need to preserve evidence.
Submitted inquiries, native lead-form and CRM contact records, follow-up notes and website booking-progress records form an ongoing business history. They currently have no automatic expiration. This includes contact details, associated service choices and inquiry attribution. We connect saved website inquiries and booking journeys with the same email address. Contact us if you want to request deletion. The shorter website Meta measurement periods above do not set a deletion schedule for these business records.
Project media, supplied assets and related service records are retained in light of the engagement, delivery and support needs, applicable permissions, and necessary legal and business recordkeeping. Wanderlust-owned media may also be retained for permitted relicensing, stock, portfolio and marketing uses; expiry of a client's listing license does not itself require deletion of our owned media. Applicable privacy rights, releases and contractual restrictions still govern that retention and use. This notice does not promise permanent storage, recovery of raw files or continuing gallery access. Any agreed delivery, hosting or archive-access period is governed by the applicable service agreement; ending gallery access does not necessarily delete all underlying business records.
You may email support@thewanderlustphotography.com to ask about your information, request correction or deletion, or stop inquiry follow-up. To protect information, we may need details reasonably necessary to verify your identity, authority and the records concerned. Please identify the email address or request involved; do not send passwords or payment-card information.
We review requests under applicable law. Depending on your location and the law that applies to our activities, you may have additional rights concerning your personal information. Where a right applies, we will handle the request and any required appeal process within the applicable requirements. We do not condition legally protected rights on accepting new service terms.
Deletion may be limited where records are reasonably needed for legal, accounting, fraud-prevention, service-history or dispute purposes and retention is permitted by applicable law. We may retain a limited record of your request or preference where needed to administer it. Deletion from our records does not itself remove information already lawfully received or published by independent third parties. Contact us about those circumstances so we can explain the scope of a request; this notice does not restrict any assistance or deletion duties imposed by applicable law.
Security and updates
No website, transmission or storage system can be guaranteed completely secure. Contact us promptly if you believe information connected with our services has been exposed or misused. This statement does not limit our obligations under applicable law.
We may update this notice as our practices or legal requirements change. The updated notice will show its revision date. We will provide additional notice or obtain consent where required by applicable law. An update does not itself supply consent for a new use requiring it.
